About the role
As Facility Coordinator you are responsible for a pleasant, safe and well-functioning work environment and all the facilities that go with it. You like to be out on the floor and in the building, and you engage in conversation with the landlord, suppliers and colleagues whenever something needs to be arranged.
What you will do
•You take ownership of the building and the work environment: you feel responsible for all facilities in and around the building. You are often found on the floor: you do rounds, spot defects and make sure they get resolved. You coordinate repairs, maintenance and technical interventions with the right parties.
•You manage Traxall, the external manager of our vehicle fleet. You monitor service delivery and agreed arrangements, act as the link between Traxall, HR and colleagues, and ensure the deployment of lease, pool and rental cars runs smoothly and cost-consciously.
•You ensure that all colleagues have a pleasant, safe and well-functioning workplace: from layout and furniture to climate, cleaning, access and security. You direct facility suppliers and contracts and hold parties accountable to the agreed quality.
•You are responsible for Health & Safety (Arbo/VGM) in and around the building: you oversee the risk assessment (RI&E) and follow-up of action points, make sure emergency response (BHV), safety procedures and evacuation are in order, and monitor compliance with agreements and guidelines.
•You manage the facility budget, negotiate with suppliers, check invoices and actively look for improvements and cost savings, for example around energy use, waste and sustainability.
•You act as project leader for facility projects such as rearrangements, internal moves and (small) renovations, liaising with internal stakeholders, the landlord, suppliers and contractors.
•You lead the Office Management team (2 employees). They take care of reception, pantry, mail and support for Management and Directors; you set priorities, ensure the team is well organized and act as their sparring partner.
What you bring
•MBO+/HBO work and thinking level and demonstrable experience in a facility role, preferably with responsibility for a (rented) building and external suppliers.
•You are a strong, direct conversation partner and dare to address people.
•You are a doer and take ownership and responsibility; you don't wait for someone else to solve it.
•You have experience with contract and supplier management and know how to steer external parties on quality and cost.
•You work in a structured way, have knowledge of Health & Safety (Arbo/VGM) and are proficient with digital systems (e.g. MS Office/Excel).
•You have knowledge of technical installations.
